Customer Data Policy
Retention and disposal of customer data held by BASE 1 Ltd

Details of your company supplied by you to BASE 1 Ltd will be kept on our secure servers as part of the normal sales process. This information to include sales person’s name, company name, address and any contact information supplied. This data will be held for a minimum of 10 years unless you specifically request either individual or company contact data to be removed.

Information you supply to us as part of the sales process on any quote or order, including your customer’s name, company name and address, will also be kept for a minimum of 10 years as part of the sales record and invoice detail unless you specifically request for that information to be removed.

The only data provided to a 3rd party is the delivery address you supply us with which must of course be given to the appropriate courier where applicable.

Disposal of personalisation details on any personalised products manufactured by BASE 1 Ltd
Personalisation that contains detail such as photographs, employee numbers and/or security numbers, barcodes or specific access data will be removed from our servers at 60 days from print date (this is mainly relevant to ID cards, and gives enough time that a monthly summary sheet can be sent and checked for accuracy before data is removed).

Personalisation that doesn’t contain data such as employee numbers etc but still includes basic detail such as name or job title will be removed from our servers at 6 months from print date (providing enough time to show a reasonable order history so customers can check what they’ve ordered, but a set time period where data will be removed).

Should you require different timescales to those above for the disposal of personalisation details we are happy to discuss your requirements.

What will be kept beyond these times is the original artwork layout for the printed or personalised item so that customers may re-order without repeating the entire sales process. This data will be kept for a minimum of 5 years unless you specifically request otherwise.
